Rental Policy – Cozy Glamp Co.

Thank you for choosing Cozy Glamp Co. We’re honored to be part of your special event or outdoor escape. Our policies below ensure a seamless, comfortable, and memorable glamping experience.

1. Booking & Payment

Non-Refundable Deposit: A 50% non-refundable deposit is required to reserve your event date and tent(s). Due to the custom nature of our setups and limited availability, we cannot hold dates without a deposit.

Final Payment: The remaining balance is due no later than 30 days before the scheduled rental. Late payments may result in cancellation of your booking, and your deposit will be forfeited.

Accepted Payments: We accept all major credit cards, ACH transfers, electronic payments, and cash by special arrangement.

2. Cancellation & Rescheduling

Deposits Are Non-Refundable: All deposits are retained to cover the loss of your reserved date and preparation costs.

One-Time Courtesy Rescheduling: You may reschedule your booking once, without penalty, if done at least 30 days in advance. Rescheduled events must fall within 3 months of the original date and are subject to availability.

Last-Minute Cancellations: Cancellations made within 30 days of the rental date will result in the loss of all payments made.

3. Delivery, Setup & Pickup

Standard Service Radius: Setup and delivery are included within 45 miles of Marietta, GA. Additional mileage will incur a travel fee.

Site Requirements:

  • Setup area must be flat, dry, and clear of obstructions.

  • Vehicle access for drop-off and pickup is required.

  • A nearby power outlet is ideal for tent lighting or accessories, but not always required depending on your package.

Access: Tents and equipment may not be moved once installed unless approved by Cozy Glamp Co. in writing.

4. Customer Responsibilities

Use & Conduct:

  • Tents are for recreational and event use only.

  • No smoking, cooking, or open flames inside the tent.

  • Candles, fireworks, or sparklers are prohibited near glamping tents.

  • Children under 12 should be supervised inside the tent at all times.

Damages: You are responsible for any damage beyond normal wear. A cleaning or replacement fee will be assessed if equipment is returned excessively dirty, broken, or altered.

Inspection: Customer or designee must inspect the tent upon setup. Continued use signifies acceptance of condition.

5. Cleaning & Maintenance

Included Cleaning: Tents are sanitized and prepared before each rental. Basic post-event cleanup is included.

Excessive Cleaning Fee: A $200 fee applies if the tent is returned with excessive dirt, trash, food, spills, or debris.

Long-Term Rentals: Customers booking multiple-day glamps must maintain cleanliness and may request restocking or cleaning services for an additional fee.

6. Weather & Outdoor Conditions

Customer Responsibility: While tents are weather-resistant, customers are responsible for ensuring that the site is safe for setup. We recommend grassy or dry surfaces and provide ground tarps for added protection.

Weather-Related Cancellations: If severe weather (e.g., dangerous winds, flooding) prevents setup or makes conditions unsafe, Cozy Glamp Co. reserves the right to cancel or reschedule. In this case only, deposits may be credited toward a future booking within 6 months.

7. Liability & Indemnification

Insurance: Cozy Glamp Co. maintains general liability coverage for our services.

Customer Liability: The customer is responsible for safe, appropriate use of all equipment.

Hold Harmless: By booking, you agree to hold Cozy Glamp Co. harmless for injuries, property damage, or incidents caused by misuse, poor site selection, or actions outside our control.

Indemnification: Customers will defend and indemnify Cozy Glamp Co. against any claims, damages, or losses tied to their use or site conditions, except those caused by our negligence or faulty equipment.

8. Permits & Site Use

You are responsible for any required permits, site permissions, or HOA approvals for your event or private property setup.

9. No Guarantees

While we do everything we can to create magical moments, Cozy Glamp Co. makes no guarantees regarding weather, guest satisfaction, or third-party vendors. All rentals are provided as-is, with care and attention to quality.

10. Branding & Media

Brand Visibility: Cozy Glamp Co. branding will remain visible on select equipment for service identification.

Photos & Promotion: Unless you request otherwise in writing, we may use non-identifying photos of your tent setup for social media or marketing purposes.
